  • Define spell check software.

Spell check software is built into many word processing applications and compares the words typed in a document with those held in its dictionary.

  • What happens to a word that does not match the dictionary?

It is flagged and highlighted for the user to check, most commonly by being underlined in red.

  • Give two examples of correctly spelt words that may still be flagged.

Proper nouns and words in other languages are often flagged even when spelt correctly.

  • True or False?

A word flagged by a spell checker is always spelt incorrectly.

    False.

If a word is not in the dictionary but is spelt correctly, it will still be flagged. Proper nouns are a common example.

  • Why would the name of a specific beach be flagged by a spell checker?

It is a proper noun, so it is not in the dictionary. It can be added to the dictionary so that it is not flagged if used again.

  • Why should you use your own judgement with automated suggestions?

Automated suggestions may not always be accurate or appropriate, and the software may not recognise some technical terms or jargon.

  • What is the purpose of a validation check?

A validation check ensures data is accurate, complete and meets specific criteria before it is processed.

  • What two things does a validation check help to achieve?

It helps to minimise data entry errors and to maintain the integrity of the data.

  • Define verification.

Verification is a method of checking that data being copied from one medium to another does not contain errors.

  • True or False?

Verification prevents all errors in data entry.

    False.

Verification does not prevent all errors. It helps to reduce errors in the data entry process.

  • Name the two most common verification techniques.

The two most common techniques are visual verification and double data entry verification.

  • Define visual verification.

Visual verification is a manual method of verifying data by comparing the source with the entered data.

  • Define double data entry verification.

Double data entry verification is a method where data is entered twice and then compared for inconsistencies.

  • What is the difference between verification and proofreading?

Proofreading is checking the content of the data for errors, while verification is comparing the data with the original.

  • What is the difference between verification and validation?

Verification ensures data has been entered or copied correctly, while validation makes sure the data is sensible, reasonable and within acceptable boundaries.

  • True or False?

Validation checks that data is sensible, reasonable and within acceptable boundaries.

    True.

That is validation. Verification is the separate check that data has been copied correctly from the original.

  • Give one reason why data is verified on entry.

To ensure that the data entered has been copied correctly.

  • Why are both verification and validation needed?

Both are essential in maintaining data accuracy and quality.
